Banner Health Locations and Structure

Banner Health operates in six states: Arizona, California, Colorado, Nebraska, Nevada, and Wyoming. The organization includes 33 hospitals, Banner Medical Group (BMG), and Banner Urgent Cares. HIMS Team Structure

HIMS is divided into coding and operations teams. The operations side is further split into corporate operations and facility operations. Facility operations are divided into four service centers: East Valley, Academic, West Valley, and Western region. Each service center includes teams for facility release of information (FROI), document imaging, coding support, and profile/deficiency management. Corporate operations include EHR services (EMPI, medical identity theft, report to web, data integrity, education, forms and hierarchy, and transcription services) and centralized release of information (CROY).

Facility Operations Teams

Facility operations teams are divided into four service centers: East Valley, Academic, West Valley, and Western Region. Each center handles functions such as Facility Release of Information (FROI), which manages patient walk-in requests and routes requests to CROY. The document imaging team collects and scans documentation into the EHR, while ambulatory document imaging teams process documentation electronically. The coding support team assists coding and profile teams with high-dollar accounts needing documentation for billing and coding. The profile team analyzes medical records for completion, monitors deficiencies, and manages provider suspensions.

Corporate Operations Teams

Corporate operations consist of EHR services and CROY. EHR services include the EMPI team, which ensures patients have a single medical record across all Banner systems, and the medical identity theft team, which investigates potential identity theft claims. Report to Web offers documentation and alerts to non-Banner providers when their patients are seen at Banner locations. The data integrity team reviews records for data completion based on federal regulations. The education team ensures training materials and workflows are documented and trained according to policy. The forms and hierarchy team develops standardized forms and barcodes. Transcription services are outsourced, with HIMS ensuring accuracy and timeliness. CROY handles billable release of information requests for all Banner hospitals and many BMG/BUMG locations, with training and support provided by the CROY education team.

Coding Team

They work with providers and clinicians to obtain necessary documentation and provide re-education on documentation requirements. HIMS Operations Education Team Introduction

The HIMS operations education team consists of Brandy Hunaker (Director of EHR Services), Vanessa Gonzalez (HIMS Senior System Specialist and Project Support), Shannon Berea (Western Region HIMS Educator), and Christina Richardson (Arizona Region HIMS Educator). Each member has extensive experience within Banner Health and HIMS, with backgrounds in various roles such as filing, release of information, document imaging, and IT support.

HIMS Operations Education Team Support

The HIMS operations education team supports both acute and ambulatory HIMS teams through new employee orientation, competencies, one-on-one education, and technical support. They also provide training and support for Banner Urgent Care locations, BMG and BUMG clinics, and Go-Live events. Their support includes developing workflows, ensuring appropriate access, testing applications, and training team members. The team also supports projects related to HIMS and HIMS workflows, acting as project leads or supporting other team members.

Committee Participation

The education team leads and participates in multiple committees, including the HIM super user team, which reviews workflows and discusses issues. They also participate in the system forms and hierarchy team, gathering and disseminating information. Additionally, they are part of the EHIMS team, which reviews HIMS processes, and attend various system committees such as HIPAA privacy and security, and system or facility project meetings.

Training Support

The education team provides monthly training sessions available on Workday, held virtually via Teams. These include HIMS NEO, acute document imaging, ambulatory document imaging, and HIMS Power Chart. They also offer two training sessions for BMG and BUMG staff, split between front and back office functions, covering document management, HIM sendbacks, electronic printing and faxing, and clinic release of information. Ad hoc and go-live support sessions are also provided, tailored to individual or team needs, either virtually or on-site.

Project Support

The education team attends organization and facility project meetings to provide recommendations and support for HIMS-related workflows. They evaluate, test, and pilot new processes, software, and hardware. During project go-lives, they collaborate with HIMS operations and organization leaders to ensure a successful implementation.

Technical Support

The education team provides technical support for HIM staff and the areas HIM supports. They manage three service hub tickets: HIMS ops education general request, fax folder support document imaging, and HIMS document imaging general reporting. They troubleshoot and support network fax folders, HIMS applications, and workflows, and assist BMG/BUMG staff with document imaging workflows. The team also performs user acceptance testing for new applications or updates and creates webcasts, tip sheets, and manages the HIM super user SharePoint.
