00 Hi, today I am excited to share five Apple reminders tips that you need to know. If you haven't watched my other reminders video, I highly encourage you to walk through my layout before watching this one. Watch till the end of this video because my last tip that combines automation, shortcuts, and reminders is something you don't want to miss. Starting with number one, I am now using a grocery list as part of my reminders. Now, Apple has three types of lists that you can create. They have a standard list, a grocery list, and a smart list. And prior to this, I was just using smart list, and standard list. But my gosh, the way that Apple organizes your grocery will help you
46 save time when you're actually at the grocery store. You know that feeling when you go to the fruit section and then you forget that you have to get something back there because your list is unorganized? Well, Apple does an amazing job. List is pretty simple. You click add list and you can choose the list type to be groceries and then you can list it whatever you want. Make an icon and you click done and your grocery list will be created. Okay, I'm not going to put it on here cuz I already have one here. And you can see here this is my grocery list. And as you add items, it's going to automatically categorize it for you, which is really helpful when you're going grocery shopping. For example, if I add milk, like it automatically goes into there. Let's say if I wanted to add rice, like it creates a new category for pasta, rice, and beans. Let's say I want some candy. Is that amazing? It's You can
33 obviously move it around if you don't think it fits. But I'm just going to remove those because I don't actually need to get that. I'm going to explain about this expiration shortcut that I added on to monitors and that'll be at the end of the video. I highly recommend if you are doing grocery shopping, why not let Apple categorize it for you? It will save you time. Another thing that you might not know is you can actually do custom reoccurring tasks. So if you want to do a reminder every 4 days, every 30 days, every 28 days, whatever you want, you can click on new reminder and let's say you want to put clean bed sheets and then click the little icon on the information. Then you're going to click on date and let's say you wanted
19 to repeat. There is an actual custom area down here. You want to do it frequency. Yeah, let's do daily. You can also do it every like 2 months, whatever you want. Every 25 or let's say 10. Every 10 days. That's it. And then it's going to give you a custom reminder of every 10 days. This can be really useful when your task isn't within a weekly, monthly, daily. The next one I'll mention is using templates. Now, templates are really useful when you find yourself going back to this list again and again. For example, it can be your packing list, your deep clean list, a list that you'll go through when you're going through interviewing and finding jobs that you want to save so that you will reuse in the future. The
06 template function of Apple reminders is incredible. Now, I'll show you how this works. Now, to create a template, you have to create a list first, right? So, I'll show you what my template is. I've already added it in, but for example, I'm going to the bottom here, clicking add list, and there's new list and there's templates on the right here. You see in the templates here, I have a weekly reset and an international travel packing list. I've already created these list. For example, when I click this, I can rename it to, let's say, I'm going to like Japan. And I'll click create. And there you see in the bottom Japan travel packing list. Once I'm done with this, I can delete it. You can see my Japan travel packing list that I just added. And when you click on there, you can see everything that I've already
53 created as a template. So every time I go traveling, it's going to be so easy. I have all my essentials, the important tasks that I want to do before going on travels, hygiene, cosmetic, electronics, clothing, optional, depending, and for the overly careful. So, this is just an example of a template that you can create. Every time you travel, you don't have to find a new template. And the awesome thing with this is that every time I go travel and I feel like I need something, it's really easy to edit the template. So, next time you don't forget that item. For example, you go back here to templates and you can click on the little icon here and I can edit whatever I want. If I wanted to add something new to this list, you can. As I'm editing my video, I realized that I forgot to show you exactly how to actually add a
39 template on. So, I'll show you it over here. You basically click on the list that you've already created and on the top right there's three little dots. Click on the three little dots. There is save as template. And once you save as template, it will appear in your template area. Pretty simple. Any process that requires multiple steps and things that you got to keep track of, it's really helpful that you don't have to remember them. And there's a template there for you every time. The next one is adding Apple notes into your reminders. Now, I have mentioned this in the past, but I'll quickly go through it. For example, if you have a notes that you want to work on and you want to create it into your reminders, so then when you go to your reminders and you click that reminders, it goes back to that note that you were working for
25 working on. What you'll do is you'll click on that share button on the top here. And when you click that, you scroll down and click on the reminders app. and and then you'll see it pop up here. You can move it to whatever list you want, whether you want to flag it or you want to add it to your brain dump. I think I added it to my groceries. So, let's go to my grocery since I added it there. And the cool thing about this is you can see it here at the bottom. I added this list for me to work on. Obviously, you don't need to add it to your groceries. Cool thing is when I click on this little notes icon from here, it goes back to the exact note I was working on. Do you see that? So, you can click on this little notes icon on the little right of the reminders. Click. And there you go. Here we're back at where we were. If you have found this
13 video helpful so far, I would appreciate it so much if you would click like and subscribe to my channel so I can make more videos like this. Now, moving on to the shortcuts, automation, and reminders combination here. Now, this one's a little bit more complicated, so I'm just going to go through it in the most simple way as I can. And I will probably make another video going through shortcuts because I honestly think shortcuts and automation is one of the most powerful Apple tools that you can use. So, if you can learn how to use it, this is going to save you so much time and make things a lot easier in your life. I'm going to go through Shortcuts. So, Shortcuts is literally the faster way for you to get something done on your iPhone, whatever task that you want to do. If you go into the app shortcut,
58 if you don't have it, you can just download it, but it's part of Apple, maybe you deleted it, and you go to gallery, you'll see all the examples of what shortcuts is all about and what things you can do. It's it's really endless. I'm just going to explain how to add shortcuts in here. So, if you go to gallery, I'll first explain how I add an expiration date to my grocery list so that I know when things expire and when I might need to purchase more of it. So you go in gallery and you search for expiration you can see it over here and you would just click on that shortcut and obviously you can add the shortcut to your list and once you add it to the list it will appear on your short shortcuts list and then click on the little three dots here and then click on
43 the little icon on the bottom. You can add that to your home screen if you'd like. And so every time you click that it will prompt you. I'll show you exactly what that looks like. So add to home screen. You'll see here that it's been added. You can also create a widget if you want. Edit, add widget. And widgets will also have shortcuts here. See? And then you can choose what kind of shortcuts you would like to add if you want to do that way instead. Or you can add it on your home screen like a bookmark over here. Now see when I click on here, so the item it's going to prompt you to ask what's the item you're keeping track of. Let's say peanut butter. And it expires. Let's say September of 2020, I don't know, September, August of 2025. Click done.
29 And it says awesome. And then when you go back to your reminders, you'll see it has added it to the list of sauces and condiment peanut butter expires on the date that you added it to. Isn't that useful? So, the next part I'm going to go through is my nighttime routine checklist and my morning routine checklist. Before I do that, by the way, you can also ask Siri to do shortcuts. And you just have to say the exact thing name of the shortcut. So for example, hey Siri, add expiration reminder eggs in one week. Thank you. Now let's move here to my reminders app. And you can see here it expires on the date. How amazing is
15 that? Okay. Now the final thing I'm explaining is a little bit tricky. So, I will do my best to explain this. So, I've added a morning routine, a nighttime routine checklist so that I have a list of things that I can do, but in the past, I found that it wasn't helpful because I didn't have a trigger or prompt for me to do it. And it would be annoying to like create this list over and over again. So like having a template for it is useful, but remembering to create a template every morning and every night is just too much work, right? So templates are really good for things that you use once in a while, but I think something that you do every single day, a shortcut automation is better. I'm going to show you what it looks like and then how to create. So I
02 have a morning routine checklist over here. And so this is kind of what it looks like. And then I have a night team routine checklist. And this is what it looks like. I'll explain how it works and how you'll use it. Now, I have an automation for them. So, after I created the shortcut, I'm going to create an automation. So, it triggers me in the morning and triggers me at night to do my routine. And I'll explain how this works. First thing you have to do is create the shortcut. Click the plus sign over here. And you're going to search for add new reminder. So before you do this, think about how many items you want to do. I find it easier to click this and then to search again in the search actions and then do as many and
47 then go back to add new reminder and then search again. So I'm just going to do uh three here, but you can do as many as you want. So once you've added all of these in, you can start editing these reminders. Let's say you want to brush teeth. I know you probably don't need to remember that, but this is just an example. And I'm going to put my uh reminders onto my routines. And then I'm actually going to flag it. And I'll explain why later. Okay. So, I'm personally going to flag this. I think that's all I will do here. Okay. And then reminder to do a 5minut walk. No, let's say a meditation. 5 minute meditation. And then again go to the routines and
33 then again I'm going to click on this and like this. Okay. And then the final one here I will say 5 minute. No I'm going to say drink water. Drink one cup of water. And then again put it routines. And then I'm going to flag this as well. Okay. This is my process for creating this. I'm going to edit the name up here. Rename to morning routine. And then you can create an icon. So you can make whatever you want. Let's do let's just do a random one. Let's do a clock. Okay. And you can do that if you'd like. Okay. So this is a shortcut I created. So basically when I click on this shortcut, it's going to add this entire list as a batch onto my
20 reminders. So that's the first step. So you can see here I created a morning routine. Now, mine obviously looks different, but I'm just giving you an example here. Once you do this, if you actually click on it and you do the shortcut, it's going to add it in batch. I'm going to click onto this. And then if I go to my reminders app, you can see here it has been added to my today list. Brush teeth, 5 minute meditation, drink one cup of water. See, let me explain how I added to my to-do list. So, this will make more sense if you were watching my first video, but my today list is my only smart list, and that's the main list I use because I just want to look at my today every single day. Everything else is more of a more for me to add and reference, but my today list is things I want to get done today.
07 Okay, so for this, I'm just going to show you on my laptop just because it's easier to see. The phone is quite small. You can see my today's smart list here. I'm going to rightclick, show smart list info. And this is really important for what I'm explaining when I'm explaining this automation because I want to be able to add this list on my today list because this is the main list I use and everything else is more of a reference. Now my date is set for today and to include any past due that I haven't got done. And then I have to make sure this is set. It says include reminders matching any of the following filters. Make sure to click any and not all. But the second filter I added is flag. So, anything that I flagged will also go in my to-do list. And this is really helpful when I'm doing shortcuts and automations for items I want to add to
54 my to-do list. And that's what you need to know and put if you're following the automation that I'm doing. You'll see here that my morning items have been added by that click of a shortcut. Teeth, 5minute meditation, and drink one cuz I flagged them. And then as I get them done, obviously I can click it. But the best part is actually the automation. So, let me explain the automation. Now, I set an automation that every day at 6:25 a.m. in the morning, it's going to prompt me to add my morning routine checklist onto my reminders. And I did the same for 9:00 p.m. and night for my nighttime routine. I'll explain how you can do it. You can click add automation, and then you're going to search, and it's going to be at the top here, most likely time of day. So, you can do sunrise, sunset, time of day, and let's just do 800 a.m. Okay.
41 repeating daily or whatever repeating method you would like. And I click run after confirmation, which means I'm going to get prompted to add it versus adding it automatically. I prefer to get prompted so that I it's like a alarm clock or a little reminder for me to be like, "Oh yeah, morning routine. Let's add it to my to-do list." Okay, so you can add next. And then you're going to search for shortcuts. And you see here your shortcut that you created will show up. You can click onto that. And there you go. You can see over here it's been added 8:00 a.m. daily. Now, I'm going to just set the time here so that we can see it be prompt exactly at the time. So, right now it's 9:41 a.m. I'm going to put 9:42. Come on. 42. Okay. So, I added that in now. So, let's just wait
29 for this to show up. The cool thing is that I am a huge fan of Apple Watch. I'm so excited because I'll actually be upgrading my Apple Watch pretty soon. Oh, you can see here. See, it's 9:42 and the shortcut notification has shown up. And so I'm going to click on that and it's going to prompt me and say, do I want to run it? I'm going to say yes, let's run it. So the shortcut has been run. And now you can see that it has been added onto my to-do list here. And I find it most helpful actually in combination with my Apple Watch because I can look at reminders and as I'm doing I'm just like finishing them on here versus going on my phone and clicking them. This is helpful when you've kind of got out of your routine and you're
16 trying to get back into your routine and over time this list is going to be smaller and smaller as some of the things have become habits. Then you don't really need to remind yourself anymore. But the things that you want to do every day that makes you that you know makes you feel good. You can help make this process easier with shortcuts. Now I can do a very very long video on all the amazing shortcuts and automations and things but start small, keep it simple. Just introduce yourself to the concept on something you think that would actually be helpful for you. And then as I learn more things and as I incorporate more things, I will make sure to share them with you because but so far I found that really helpful in making me motivated to want to finish my little list that's added every day. If you have any comments, suggestions,
04 anything you want to share, please leave me a comment below. I would love to hear from you. To summarize the five things we went through today is one, we talked about the grocery list feature on Apple reminders. Number two, we talked about doing custom reoccurring reminders, whether it's every 3 days, 5 days, 20 days. Number three, we talked about using templates as something that you can create that can be really helpful if you plan on using that list again in the future. You don't have to create the list again. Number four, we talked about adding Apple Notes directly into your reminder so that when you click the little notes icon, it will bring you back onto the note that you were working on. And then finally, number five, we gave examples of how using shortcuts and
49 automation can be a powerful tool in combination with Apple reminders. I hope that was helpful and thank you again so much for watching. I will see you next time. Bye. [Music]
